We are dealing with many files every day - different times, different types of files, different purposes.


The first time we realized how important file organization was when we needed to find a file urgently, but we couldn't find it in the mess of folders. Not only did we search in vain, but we also went through the recycle bin and netbook, still ending with no result.



As time went by, the number of files increased, the storage devices were scattered, and even with the momentary deletion, we became more and more confused about which files needed to be cleaned up and which files needed to be kept.


So from that moment on, I began to consciously categorize and organize my files and seek more efficient ways to organize them.


Folders are designed to hold full-page documents, and their main purpose is to better preserve them and make them neat and standardized. It is a kind of business or career and other activities in the process of storage, protection and standardization of paper documents to the management of the tools used.


1.Back to classify and record documents



First of all, you need to go through all the documents one by one to determine the type of documents and classify them. You can take a pen, while looking at the paper to record down.



For example: grocery store receipts, you can record as "living expenses". If a document has a lot of content and contains a lot of information, put a note next to it.



2. Set the document classification



According to the file information you recorded in the previous step, set up file categories, and then one folder for each category. Set the category to be appropriate, the category is not too wide nor too narrow.



The categories should include all the documents you just recorded, and you should consider that the documents added later should also be able to be included. For example: bills, family, health, work/business, education, etc.


3.File color



Setting different categories of folders to different colors will help you identify them faster and easier, at a glance without any thinking. For example: green folder contains various bills, red folder indicates personal items, blue folder represents is medicine related.



4.Organize the files



Check the files again to see if there is still unpacked mess. There is nothing that is no longer needed. If you no longer need it, throw it in the trash. If you don't know if you should keep a certain document, ask yourself when and if you will use it again.



In most cases, receipts are the culprit of clutter, so if you don't particularly need to keep them, it's recommended that you discard them, or if you're not sure, you can keep the electronic files.


5. Put them into the box



According to personal needs, choose a suitable file box, will just sorted documents are loaded into. The size and shape of the box is determined by how many documents you have and the space in which they are placed.



If there are really too many documents, such as inside the office, you may need a special file cabinet to store them. Home and other places where there are fewer documents, a box will be done.



Remember that the file cabinet to buy a little better, if easy to break or handle loose, then you just storage of hard work may be in vain.
